Backup Virtual Assistant: what it is and why it matters
A backup virtual assistant is a second trained VA who already knows your work and steps in when your main VA is away. A replacement VA is different. A replacement is someone new, sent after your VA leaves or stops working out, who still has to learn your business.

Pick the days your primary VA is off
Your backup VA covers 1 day. Nothing stops, and there’s no new person to train.

Backup VA vs replacement VA vs no cover
Many VA companies now mention backup or cover, and they don’t all mean the same thing. This page explains the difference, shows what different companies say they include, and gives you the questions to ask before you sign.
| Question | Trained backup VA | Replacement VA | No cover |
|---|---|---|---|
| When it helps | Sick days, holidays, busy weeks | Your VA leaves or isn’t the right fit | It doesn’t |
| Knows your work already? | Yes | No, they need onboarding | No |
| What you do when your VA is off | Very little | Wait, then train someone new | Do the work yourself or let it wait |
| Typical risk | Check how well the backup really knows your work | Days of slower work during handover | Work stops |
A good company offers both. You need a backup for short absences and a replacement for when the fit is wrong.
Why it matters for a small business
A freelancer or solo VA is one person. When that person gets sick, your inbox, invoices and follow-ups stop with them. A small team usually has nobody spare to pick that work up, so it lands back on the owner.
That’s the job a backup VA does. It’s less about emergencies and more about the ordinary weeks when someone is off and work still needs to go out.
What VA companies say they include
Wording varies a lot, so treat this as a starting point and ask each company directly.
| Company | What it says about cover | Published starting price | Worth asking |
|---|---|---|---|
| 7VAS | Trained secondary VA, QC review and account manager on every plan | $699/month for 80 hours; $999 for 160 hours | See the questions below. Ask us too |
| Wing Assistant | “Backup coverage as standard” on every plan, plus free replacement | $699/month for 80 hours; $999 for 160 hours | Is the backup already trained on my account? |
| Prialto | Trained primary and secondary backup assistants | About $1,500–$1,600/month for 55+ hours; 90-day minimum, $250 setup | What’s the cost per hour at my volume? |
| Wishup | Backup VA on the Elite plan only | Backup cover from $1,999/month | Which plan do I need for cover? |
| MyOutDesk | Replacement rather than a backup assistant, by design | From $1,988/month, full-time | How long does a replacement take? |
Based on each company’s own pages. Wing, Prialto and Wishup rechecked 2 November 2026, MyOutDesk checked 31 October 2026. Prices and terms change, so confirm before you buy.
7 questions to ask any VA company about backup cover
- 1Is the backup a named person, or whoever is free that day?
- 2Has the backup already been trained on my tools and processes?
- 3How does the backup stay up to date as my work changes?
- 4How quickly does cover start for a sudden sick day?
- 5Is backup included in my price, or is it an extra or a higher plan?
- 6Does anyone check the backup’s work?
- 7What happens if my main VA leaves for good?
If a company can’t answer the first three clearly, it may be offering a replacement and calling it backup.
How backup works at 7VAS
Every 7VAS plan comes with four people around your work. Every task is tracked in ClickUp, so you can see what’s moving, whoever is working on it.
Your dedicated assistant, matched to your industry and tools, with at least 2 to 3 years of experience before placement. Highly experienced VAs with 5 to 7+ years are also available.
A trained backup who knows your setup and keeps work moving through holidays, sick days and busy weeks.
Checks deliverables before they reach you.
Your one point of contact, reachable by phone and email.
- How your backup gets to know your work
- Your backup VA goes through training alongside your primary VA, so both learn your process together. When your primary VA is away, your backup VA does the work, with no new person to train.
- How cover starts
- From day 1 of the absence, whether it’s planned leave or a sudden sick day.
- How much they cover
- Your full plan hours, for as long as your primary VA is away.
- What they can take on
- Whatever your primary VA does, your backup VA does too.
- Meeting your backup
- You can meet your backup VA, so you know who’s stepping in.
If your VA isn’t the right fit, we’ll also replace them, typically within 48 hours, at no extra charge.
What it costs
Backup VA and QC review are included on every plan. You don’t pay extra for them.
| Plan | Hours | Price | About per hour |
|---|---|---|---|
| Part time | 80 a month (4 hours a day, Mon–Fri) | $699/month | $8.74 |
| Full time | 160 a month (8 hours a day, Mon–Fri) | $999/month | $6.24 |
| Team, up to 4 users | 640 a month | $3,799/month | $5.94 |
Specialist roles cost more. There are no recruitment or placement fees and no long-term contract. See all plans and prices.
When you may not need a backup VA
If you only need a few hours of help a month and your work can wait a few days, a backup matters less. A task-based or hour-block service may suit you better. A backup earns its place when the work is daily, or when customers notice if it stops.
A second trained VA who already knows your work and covers when your main VA is away, such as on holiday or sick leave.
A backup covers short absences and already knows your work. A replacement takes over after your VA leaves or isn’t the right fit, and usually needs onboarding first.
At 7VAS, your backup VA picks up the work. At other companies it depends on the plan, so ask before you sign.
At 7VAS, your backup VA goes through training alongside your primary VA, so both know your process. Other companies do this differently, so ask whether the backup is trained on your account before they’re needed.
Not at 7VAS, where it’s on every plan. Some companies include it only on higher plans, and others offer replacement only.
7VAS and Wing Assistant both publish plans at $699 for 80 hours and $999 for 160 hours and say backup cover is included. Ask each one whether the backup is already trained on your account.
Yes. At 7VAS, you can meet your backup VA.
